The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing comprehensive administrative support, collections, and leveraging their technological proficiency to streamline processes.
Key
Responsibilities:
Answer and direct phone calls, take messages, and respond to inquiries promptly.
Manage and maintain schedules, appointments, and calendars for team members.
Prepare and edit correspondence and reports using various software tools.
Make collection calls to previous and current Tenants.
Organize and maintain physical and electronic documents and files.
Utilize advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to create and edit documents, spreadsheets, presentations, and emails.
Demonstrate proficiency in using office equipment, including printers, scanners, and photocopiers.
Troubleshoot basic technical issues related to software and hardware, liaising with IT support as needed.
Assist in the development and maintenance of physical and electronic filing systems.
Effectively communicate with the team, vendors, and clients through written and verbal correspondence.
Monitor and respond to emails, prioritizing tasks and flagging important messages.
Work collaboratively with colleagues to provide support as required.
Assist in the coordination of team projects, tracking progress, and ensuring timely completion.
Qualifications:
High school diploma or equivalent; Associate's degree or higher preferred.
Proven experience as an Administrative Assistant or in a similar role.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent organizational and multitasking skills.
Strong attention to detail and accuracy.
Effective communication skills, both written and verbal.
Ability to adapt and learn new software and technologies quickly.
Basic troubleshooting skills for computer-related issues.
Exceptional time management and problem-solving abilities.
Professional demeanor and strong work ethic.
